When uploading a HVPQ file to SIRE you may receive an error which states "One or more grid rows in the document have been cloned from another report". This error usually occurs if the file has been opened in a text editor and parts of the data modified.
Modifying the data in this way and then saving the changes damages other embedded data in the file and causes this error message to be generated on submission to SIRE.
A typical situation where this happens is when an operator has two or more vessels that are very similar and virtually all details of the vessel are the same, except for basic identification details such as the name and IMO number. The file is opened and modified in a text editor such as notepad and saved. The data embedded in each file is unique to the vessel, changing the name and IMO in the file does not remove all references to the original vessel and causes the upload of the file to fail. In order to do this correctly you will need to use the clone facility in the OCIMF Particulars editor software.
The clone facility allows you to import an existing HVPQ file and make a clone or copy using all of the same details in the original file but the data is copied to a new file, correctly formatted with all embedded will be correct and relevant to the vessel.
If you are currently using the OCIMF HVPQ editor software please note that this does NOT have the clone facility built in and is now considered to be out of date. You will need to download the OCIMF Particulars Editor. To do this you will need to log in to your SIRE account then click on the "Resources" button located at the top right hand side of the screen, once you arrive at the resources page, click on the "Software" tab.
You should then see the "OCIMF Offline Particulars Editor" software listed as shown below. Download the software and install it (please also install Adobe Air if it is not already present on your computer first if you have not installed the editor software before).
