When creating a SIRE inspection booking it is always preferable if you can ensure that an inspectors name is added when making the booking. However, sometimes it is not always possible to confirm which inspector will attend when a booking is made. This can depend on if an inspection is being held as a physical inspection or remotely. We'll look at both circumstances:
Physical inspection - When a booking is being made and the inspector is expected to attend a vessel in person, it is best where possible to add the inspectors name to the booking. However, if this is not possible leave the inspectors name field blank and complete the rest of the booking.
When an inspector is chosen, supply them with the corresponding booking code as usual. When the inspector creates their report they will need to use this to submit it to SIRE. As soon as they submit the report via their own editor software using their account, the report is then assigned as is shown as being completed in their name.
Remote Inspection - With a remote inspection it is much more important to assign an inspector to the booking. The main reason for this is the extra online work that is required by the operator, who is required to submit certificates and complete some questions in the inspection questionnaire which is then used by the inspector as the basis for their report. Ideally please ensure when making the booking that the inspector is confirmed and is specified when the booking is created in SIRE.
However, operational issues can cause the assigned inspector to not be available. If this happens, it is not normally possible to change the inspector in the booking. If this occurs we would suggest that you make contact with the SIRE helpdesk at siresupport@ocimf.org
The main issue that can occur if a change of inspector is required, depends on if the operator has already begun to upload their supporting documents and certificates as they are tied to the inspection booking. If the operator has already uploaded a significant amount of documents and the inspection requires a change or cancellation this could cause issues, so please make contact with SIRE Support for further assistance to keep time wasted for all parties to a minimum. We can then advise the best way to proceed or take any action that maybe required to minimise any issues that could occur.
