Vessel operators can create an inspection request within OVID which is then sent to key contacts within the various submitting organisations (these are usually the main Oil, Gas and Chemical companies). These requests can be reviewed by these organisations and requests can then be actioned by them if they are willing to commission an inspection.
To create a request you will need to click on "vessels" and then open the vessel record of the vessel that requires inspecting. Once this is open click on the green "Create Inspection Request" button in the top right hand corner of the screen:
This will then take you to the first page of the inspection request form. Please read the details on screen then click on the "Next" button:
At the next screen you will need to fill in some basic details, such as a proposed date and location, then click on "Next" again to continue:
At the next screen, enter any additional information that you think is relevant. You can also upload any documentation as required in support of your request. Click on "Next" to continue:
At the last page you will see a summary of the request. Once you are happy the contents are accurate, click on the "Submit Request" button:
Once the request is submitted it remains available to all submitting organisations to view for 14 days. If an organisation decided to commission an inspection on the vessel they can "Adopt" it and begin to the process of commissioning the inspection.
However, if after 14 days the request has not been adopted, it will automatically be closed.
If you wish to review a request or withdraw it you can do so by clicking on the "Inspection Request" link in the menu bar at the top of the screen and then choose "Inspection Requests" from the menu:
To review an active request, click on "Available to Members":
The inspection will be shown, to open it, click on the blue/white arrow button on the right to open it:
The details including the current status are then shown:
An inspection will show a status as follows:
Available to Members
This is where new requests begin. Once a request is submitted it is placed here for them to view and potentially adopt with a view to carrying out an inspection. A request is available for 14 days once it has been submitted and remains here until it is adopted.
Under Member Review
Once a request is adopted, it is moved into this section. At this stage the request is undergoing assessment to ensure an inspection is viable on the subject vessel. At this stage a submitting organisation may be in the process of obtaining further details of the vessel concerned and possibly in discussions with the operator before making a final decision.
Member Accepted
Once a request is accepted by an organisation it is listed here. Once it reaches this stage they are ready to commission an inspection and and will look to make arrangements with the operator and appoint a suitable inspector.
No Action
If a request has not been picked up by any submitting organisation within 14 days, it is deemed to be out of date and is added to this section. The request is no longer active and the operator will need to make another request if they still seek an inspection.
Finally if you wish to withdraw the request, click on the red "Withdraw" button to the bottom of the request. Once completed it is considered to be cancelled and will not be available to OVID submitting organisations to respond.
