Overview
When you try to add a vessel to your fleet and find it has been decommissioned in error by the previous operator (instead of being detached from their fleet), the vessel needs to be re-commissioned before you can adopt it. This article explains what to send to OCIMF Support so the OCIMF Quality Assurance Team can complete their due diligence checks and authorise the vessel for re-commissioning.
Sending the right documents on the first request avoids back and forth, and means the Quality checks can start without delay.
What you need to provide
Please provide both of the following:
- A copy of the DOC (Document of Compliance) for the operator that will be responsible for the day-to-day operation of the vessel(s)
- A copy of the SMC (Safety Management Certificate) for each vessel you want to re-commission
Please note: if more than one vessel is affected, please include a (Document of Compliance) DOC for the operator that will be responsible for the vessel(s) day-to-day then a SMC (Safety Management Certificate) for each vessel.
Why we need this information
The DOC and SMC are required so the OCIMF Quality Assurance Team can carry out their due diligence checks. These checks confirm that the vessel and the responsible operator are correctly identified before any change is made to the vessel's status in OCIMF systems.
Once Quality have completed their checks, they authorise OCIMF Support to re-commission the vessel(s).
Step 1 - Identify the affected vessel(s)
Make a note of the IMO number and vessel name for each vessel that has been incorrectly decommissioned. If you are not sure whether a vessel has been decommissioned please try and adopt this to your organisation by following the below helpdesk article.
SIRE:
SIRE Operator - Adding an existing vessel to Your SIRE account
OVID:
OVID Operator - Adding an Existing Vessel to your OVID account
Step 2 - Gather the required documents
Collect the DOC for the operator that will be responsible for the vessel(s) day-to-day, and the SMC for each affected vessel. Make sure each document is in date and clearly legible.
Step 3 - Raise a support request to OCIMF
Send your request to OCIMF Support by emailing (support@ocimf.org). Then attach the DOC and SMC(s). Include the IMO number and vessel name for each affected vessel in the request body so they can be matched to the documents.
What happens after you submit your request
Once your documents have been received, the process is:
- OCIMF Support passes your documents to the OCIMF Quality Assurance Team for due diligence checks
- Once the Quality checks are complete, Quality authorises OCIMF Support to re-commission the affected vessel(s)
- OCIMF Support re-commissions the vessel(s) and confirms by email
You can then adopt the re-commissioned vessel(s) to your organisation's fleet through the OCIMF portal as you would normally, by following the above guidance in "Adding an Existing Vessel to your account" helpdesk articles relating to your relevant programme (SIRE / OVID).
Still need help?
If you are not sure which documents apply, you cannot get hold of the previous operator, or the vessel still does not appear after re-commissioning, contact OCIMF Support and include the IMO number and vessel name so we can investigate further.
